We need a few details about you so we can contact you about your event and send you a fundraising pack. We may also need to share relevant details with the event organisers to enable your participation. We'll use your phone number and email address to keep you up to date about your event. Please note your email must be unique to complete the form. If you'd like to sign up multiple people under one email address please ring our Supporter Care team on 0300 330 5452.

If you are aged between 16-17 on the day of the event, please seek permission of your parent or guardian before registering.

If under the age of 16, you are not required to register. However, you must be accompanied by an adult over the age of 18 to take part on event day.

Event Terms & Conditions

Memory Walk Terms and Conditions 

These Terms and Conditions apply to Memory Walk, which shall be referred to as an 'Event'. Alzheimer's Society will hereafter be referred to as 'The Charity'. By registering for an Event, you agree to comply with the below. Participants of Memory Walk should read this document carefully before registering to participate in the Event. The charity reserves the right to update or amend these to reflect necessary changes. Please check this page prior to your Event to familiarise yourself with latest updates as all changes will be binding on all participants and supporters. We reserve the right to ask participants and supporters to leave the Event if they do not adhere to these Terms and Conditions.  

All Events are organised by Alzheimer's Society, a registered charity in England, Wales & Northern Ireland. Registered charity 296645, registered address 43-44 Crutched Friars, London, EC3N 2AE. 

Participant Registration 

1.	Your Event place is not confirmed until you have received an email from us acknowledging that a place has been allocated to you. 

2.	Only registered participants are eligible to take part in Memory Walk Events, and registrations must be received prior to the Event date.  

3.	All persons wishing to participate in an Event aged 16+ must register individually. Multiple registrations under a singular name will not be recognised. 

4.	All participants between the ages of 16-17 on the date of the Event must have permission of their legal guardian before registering to participate. 

5.	All participants under the age of 16 on the date of the Event, must be accompanied and registered numerically as an additional attendee on the registration form of the primary entrant. The primary entrant should be a legal guardian or have the permission of the additional attendees legal guardian(s). 

6.	Spectators are not permitted to walk the route with participants. Everyone taking part in the Event must be a registered participant, or accompanied by a registered participant if under the age of 16. 

7.	We will collect and hold contact details for all participants prior to the Event, in case of an emergency. See the use of your information section for further information. 

8.	Event entry will close when the maximum participant capacity is reached, or on the closing date listed on the website Event page, whichever occurs first. 

9.	For each registered participant for an Event, t-shirts will be provided and sent via second class post. Stocks of t-shirts are limited, and in an event that the size requested is not available we will send an alternative based on availability. Size exchanges are only possible at the event if available. 

 

Fundraising & Donations	 

1.	Participants taking part in an Event pledge to raise the minimum fundraising target as listed on the website event page. 

2.	All participants have a legal responsibility to ensure that all sponsorship monies/donations received in connection with the Event are paid to the charity. We ask you to do so by the end of the calendar year of your Event. You can: 

a.	Set-up a JustGiving page to raise money online. 

b.	Pay in your sponsorship money with a credit or debit card via the Memory Walk Website, or by calling 0300 330 5452. 

c.	Send a cheque payable to The Charity to the following address with your sponsorship form.

3.	Please ensure all donations and/or sponsorship forms that are returned to the above address to enable Gift Aid claims where possible. 

4.	We are unable to accept your sponsorship money at the Event as we do not have suitable cash handling facilities to fulfil this process. 

 

Access 

1.	We aim to be as inclusive as possible, and most of our Events are suitable for people of all ages and abilities, including persons living with dementia. 

2.	We actively encourage people from all backgrounds and abilities to participate in our Events. We aim to have at least one wheelchair/pushchair accessible route at each Event, though at a small number of events this is not possible. Details on route and site accessibility is listed on the website event pages. For further information on individual event accessibility, please contact us using the details listed. 

 

Cancellations and Changes  

1.	Entry places in the Event are personal to participants, and you may not transfer your place to another person. 

2.	You may only transfer to another Event with our permission. There are strict capacity limits for each Event, and it is import for the safety of all participants, volunteers, spectators and staff that the Event does not exceed this. Please contact us directly using the details listed on the website to arrange a transfer. 

3.	As a participant you accept that: 

a.	Any requests for the charity to return any fundraising to individual donors must be communicated by emailing memorywalk@alzheimers.org.uk. 

b.	If already received, you will return your Event pack & t-shirt to the address outlined on the pack. 

c.	The Charity will not be held responsible for the losses or costs incurred from the cancellation of a place. 

4.	We reserve the right to reduce or alter Event routes to accommodate any unexpected complications that may have an impact on the Charity staff, participants, volunteers, and spectators. Where possible, we will notify participants in advance of any significant changes. 

5.	If the Event is delayed or cancelled due to reasons beyond our control, we will make all reasonable attempts to reschedule the Event, but this cannot be guaranteed. 

 

Conduct 

1.	All participants and supporters must abide by these term and conditions and any rules, instructions or regulations displayed or given on the day of the Event by police and/or Event officials.  

2.	Participants are responsible for their own safety during the Event and should carry a charged mobile phone with them which can be used in case of emergency. 

3.	We respectfully ask all participants and their supporters not to use aggressive or abusive language towards our Event organisers, volunteers and other participants. You should avoid behaving in a way which may cause injury or harm to others, or which may cause offence or damage to the reputation of the charity. 

4.	We respectfully ask that all participants and supporters do not drop litter, but instead use the facilities available within the venues and around the route, or take litter home to dispose of responsibly. 

5.	We respectfully ask that all participants be respectful of the local community, residents and/or general public whilst participating in the event, and not to partake in any behaviour which may have a negative impact on the Event. 

6.	We respectfully ask that all participants refrain from using any smoking products, including electronic cigarettes at the Event. 

7.	We respectfully ask that all participants refrain from consumption of alcohol or illegal substances prior or during the Event. 

8.	Participants can take part with their dogs at a wide selection of venues. To confirm whether an Event allows dogs, please visit the relevant Event page on the website. Dogs are the responsibility of the owner and must be kept on leads at all times. 

9.	Participants are required to arrive only between the times listed on the Event webpage. Participants arriving outside of these times must abide by the instructions and decisions of the Event Manager or their representatives. For safety reasons it is possible that latecomers will not be permitted to take part. 

10.	If Participants arrive late to the Event, and wish to still walk the planned routes, they accept they do so at their own risk, and absolve the Charity of all and any responsibility. 

11.	Event routes will be sign posted and marshalled by volunteers, however participants remain responsible for navigating themselves from start to finish. 

12.	Participants must complete the route before the designated closure time, which will be approximately 3.5hrs after the stated start time. The Events Manager has the right to alter the route start and finish times in the face of extenuating circumstances. 

13. Participants must not do anything that threatens the Charity's reputation or name. You acknowledge that, in the event the Charity reasonably believes that your activity may damage our name or reputation, the Charity has the right to ask you to stop the activity immediately. 

 

Health, Safety & Medical 

1.	Participants are responsible for ensuring that they are sufficiently fit and healthy to take part in their Event(s). Any participant unsure of their physical ability to take part in the Event must seek medical advice from their General Practitioner prior to the Event. 

2.	Notwithstanding the above, we reserve the right to refuse entry to an Event at our absolute discretion, if for whatever reason we consider a person unfit to take part. We may also ask you to withdraw during an Event if we have concerns about your ability to complete it due to fitness, injury or otherwise. If you choose to continue you do so with the understanding that you are no longer considered a participant of the Event and that you absolve us of all and any responsibility, and progress entirely at your own risk. 

3.	All Events are non-competitive walks. All routes have been thoroughly risk-assessed for walking activity only, and to participate by running, cycling, or another means is not permitted. If you do decide to do another activity at the Event which is not walking, then you will not be considered an official participant of the Event, and as such you will not be eligible to use any Event resources. You understand that participating by another means that you absolve the charity of all responsibility, and you progress entirely at your own risk. 

4.	Participants are responsible for ensuring that they are wearing appropriate attire and footwear when taking part in an Event, taking into account the nature of the Event, the weather forecast and the terrain involved. 

5.	All participants must write the following on the reverse of their official Event label, which must be worn during the Event: 

a.	Their name. 

b.	The name and number of a person to contact in case of an emergency. 

6.	We take all reasonable steps to minimise the risk of injury to participants during fundraising Events. Stringent risk assessment processes are in place for every Event to minimise or eliminate the risk to everyone taking part. By taking part in an Event, all participants acknowledge that there may be conditions or circumstances beyond our control that can lead to unforeseen risks. If you have any concerns or queries please contact us before agreeing to take part in the Event. 

 

Use of your information 

1.	By providing your information upon registering for an Event, we will use this for the purposes of organising, staging and administering the event, including in order to send you a fundraising pack. Representatives of the Charity may contact you by phone and/or post to discuss your fundraising activity and follow up on your progress. If you would prefer not to hear from us and have not already told us this when you register, you can contact us on the details available on the Event website to change your contact preferences. 

2.	First aid facilities will be provided at each Event. If you are treated by medical providers at an Event, your details may be passed on to the provider only for health and safety purposes and to fulfil legal obligations (including those under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013). All accident details will be securely held on the Charity's Accident Database. 

3.	In case of an emergency, we may also pass personal details provided by you (from either your registration details, or the details on the reverse of your Event label) to the emergency services or health care professionals for the purposes of contacting your emergency contact. 

4.	Your personal information may also be used for the purposes of sending communications to you where you have confirmed that you would like to receive further information about the charities work when registering for an Event. 

5.	All personal data handled by us will be done so in accordance to applicable privacy laws and the charity privacy statement, which can be found at www.alzheimers.org.uk/legal-information/personal-data.  

 

Filming and Photography at Memory Walk  

1.We may use, without payment, notice or specific consent, any photographs, videos and other images in which you appear taken at the Event or any Event-related occasion by our employees or suppliers or any participant or other person attending. These photos and videos may be used to share with registered participants as a record of their day, as well as in our printed materials, website, social network marketing or any other relevant promotional material including sharing with external media outlets. We won't however identify anyone by name without their agreement. If you prefer that we don't use any images in which you, or any children participating with you, may appear in, you can collect a red badge at the event. If you decide after the Event that you don't want any images to be used, you can contact us, and we'll remove our copies where possible and ask third party organisations to do the same we may already have passed your photos and videos to. Please note this may not always be possible for example images already in print publications. 

 

Liability 

1.	All participants, volunteers and spectators enter and attend an Event entirely at their own risk. We shall not be liable for any injury, damage or loss to participants or their property that might occur as a result of their participation or attendance at an Event, other than in respect of any injury or loss arising as a result of our negligence. For the avoidance of doubt, nothing in this clause shall exclude or limit our liability for any liability that cannot be excluded or limited by law.
