Volunteers aged 16-17 must complete the above registration form to volunteer at a Trek26 event. Alongside this, the responsible parent/guardian must provide consent by completing this form.

Most of our Trek26 events take place in remote locations where the terrain may be uneven or parking is limited, requiring a short walk to rest stops or the event hub. Voluteers may also be required to stand for prolonged periods. Please let us know below if you require any additional support on the day.

Trek26 Terms and Conditions

These Conditions apply to the Event. All Participants of the Event should read these Conditions carefully before registering to participate in the Event, as the Charity shall reserve the right to ask Participants to leave the Event if they do not adhere to these Conditions.
These Conditions will only bind the Participants and the Charity, when Participants have registered, and subsequently received an e-mail acknowledging that they have been allocated a place at the Event. 
The Charity reserves the right to update or amend these terms and conditions to reflect any necessary changes shall be binding upon the Participants. Such changes will be notified to participants as soon as practicable.
These Conditions for the Event is with the Charity.  The Charity has contracted with the Event Logistics Supplier to deliver the Event. 

1. Terms used in these Conditions
Certain terms when used in these Conditions have a particular meaning.  This section sets out what those terms are and what they mean when they are used in these Terms and Conditions. 

‘Conditions’: these Trek26 Participant Terms and Conditions.
Charity: Alzheimer's Society, a registered charity in England, Wales & Northern Ireland. Registered charity 296645, registered address 43-44 Crutched Friars, London, EC3N 2AE.
‘Data Protection Laws’: (1) Data Protection Act 2018; (2) UK GDPR; (3) Privacy and Electronic Communications Regulations 2003; and (4) all other applicable laws and regulations relating to the processing of personal data and privacy in force in the UK as amended, extended or replaced from time to time.
‘Event’: the Trek26 series event as stated on your Registration Form.
‘Event Date’: the date on which the Event will take place as stated on your Registration Form.
‘Event Logistics Supplier’: the supplier engaged by the Charity to deliver the Event, being Gladiator Events Limited, company number 08810090 with its registered office at 7 Bell Yard, London, WC2A 2JR.
Group Name: Name assigned to a group of two or more Participants who choose to volunteer as a team.
Participant(s): means all volunteers who participate in the Event. 

'Registration Form': the form completed by you and submitted to us confirming your registration as a participant in the Event.
 
2.     Participant Registration
2.1	A Participant’s place is not confirmed until registration has been processed and they have received an email from the Charity acknowledging that a place has been allocated to them as a registered Participant.
2.2	Only registered Participants are eligible to take part in the Event. 
2.3	All persons wishing to participate in the Event aged 16+ must register individually. Multiple registrations under a singular name will not be recognised.
2.4	The Event is open to Participants aged 14 and above, but Participants are only required to register online if over the age of 16 on the date of the Event. All volunteers aged 16-17 must have parental consent to register, which must be provided by the completion of the Young Volunteer Consent Form available at: https://alzheimersevents.org.uk/ps/event/Trek26YoungVolunteerConsentFrom 
2.5	All Participants aged between 14-16 must be accompanied by a legal guardian who must register as a Participant on their behalf and provide consent by completing the Young Volunteer Consent Form which can be accessed using the link above. 
2.6	The Charity will collect and hold contact details for all Participants prior to the Event, in case of an emergency. See the use of Participants information section for further clarity.
2.7	Event entry will close when the maximum volunteer capacity is reached, or ten days before the Event Date, whichever occurs first.
2.8	For each registered Participant for the Event, t-shirts will be provided and collected at the Event. Stocks of t-shirts are limited, and in an event that the size requested is not available the Charity will offer an alternative based on availability. 

3.	Access
3.1	The Charity aims to be as inclusive as possible, and most Events of the Charity are suitable for people of all ages and abilities, including persons living with dementia.
3.2	The Charity actively encourages people from all backgrounds and abilities to volunteer at our Events. For further information on individual event accessibility, please contact the Charity on 0300 222 5808 or events@alzheimers.org.uk.
3.3	The Charity is committed to equality of opportunity and will reimburse reasonable, agreed out-of-pocket expenses. Please contact the Charity on the details above to agree expenses in advance of any costs being incurred. 
3.4	If any Participant has any concerns about their role and/or volunteering experience, then they are encouraged to contact us on the details above. The Charity will endeavour to deal sensitively with all concerns raised, resolving issues informally where possible, or seeking a formal resolution where necessary.

4.    Cancellations and Changes 
4.1	Places in the Event are personal to Participants who cannot transfer their place to another person.
4.2	All Participants should notify the Charity as soon as possible if they need or want to withdraw from volunteering at the Event for any reason, by using the contact details above. All Participants agree that the Charity will not be held responsible for any losses or costs incurred from the cancellation of a place.
4.3	The Charity reserves the right to reduce or alter Event routes to accommodate any unexpected complications that may arise at any time and having an impact on the Charity staff, participants, volunteers and spectators. 
4.4	If the Event is delayed or cancelled due to reasons beyond the Charity’s control, the Charity will make all reasonable attempts to reschedule the Event, but this cannot be guaranteed.

5.    Conduct
5.1	All Participants must abide by these Conditions and any rules, instructions or regulations displayed or given on the day of the Event by police and/or Event officials. 
5.2	All Participants are responsible for their own safety during the Event, and should carry a charged mobile phone with them which can be used in case of emergency.
5.3	All Participants are encouraged not to use aggressive or abusive language towards any Event official, and any other Participants or persons attending the Event. Participants should avoid behaving in a way which may cause injury or harm to others, or which may cause offence or damage the reputation of the Charity.
5.4	All participants should refrain from dropping litter and only use the facilities available within the venues and around the route or otherwise, Participants should take litter home to dispose of responsibly.
5.5	All Participants are expected to be respectful of the local community, residents and/or general public whilst participating in the Event, and not to partake in any behaviour which may have a negative impact on the Event.
5.6	All Participants should refrain from using any smoking products, including electronic cigarettes at the Event.
5.7	All Participants should refrain from the consumption of alcohol or illegal substances prior or during the Event.
5.8	All Participants are required to arrive only between the times advised for their respective volunteer role. If arriving outside of these times, Participants must abide by the instructions and decisions of the Event Logistics Supplier or their representatives. 

6.    Health, Safety & Medical
6.1	Participants are responsible for ensuring that they are sufficiently fit and healthy to take part in any Event(s) they are registered for. Any participant unsure of their physical ability to take part in the Event must seek medical advice from their General Practitioner prior to the Event.
6.2	The Event may take place in rural areas and Participants in these areas are likely to be exposed to the elements. Participants are therefore, responsible for ensuring that they wear appropriate attire and footwear when taking part in any Event, and should take into account the nature of the Event, the weather forecast and the terrain or area involved.
6.3	The Charity takes all reasonable steps to minimise the risk of injury to volunteers during Events. Stringent risk assessment processes are in place for every Event, which aims to minimise or eliminate the risk to everyone at the Event. By volunteering at the Event, all Participants acknowledge that there may be conditions or circumstances beyond the Charity’s control that may lead to unforeseen risks. If any Participant has any concerns or queries please contact the Charity on the details above before agreeing to volunteer. 
6.4	All hazards or accidents during the Event should be reported immediately to a member of the Charity or Event logistics Supplier team.

7.	Use of information
7.1	The information provided by Participants for the purpose of registering for the Event, will be used by the Charity for the purposes of organising, staging and administering the Event. Representatives of the Charity may contact any Participant by phone and/or post to speak further about any volunteering role. In the event that any Participant would prefer not to hear from the Charity or its representatives, they can contact the charity through the e-mail details provided in this Condition to change their contact preferences.
7.2	First aid facilities will be provided at the Event. If a Participant is treated by medical providers at the Event, their details may be passed on to the medical provider only for health and safety purposes and to fulfil legal obligations (including those under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013). 
7.3	In case of an emergency, the Charity may also pass personal details provided by Participants from their registration details to the emergency services or health care professionals, for the purposes of contacting their emergency contact.
7.4	Participants’ personal information may also be used for the purposes of sending communications to Participants where they have confirmed that they would like to receive further information about the Charity's work when registering for the Event.
7.5	All personal data handled by the Charity will be done so in accordance with Data Protection Laws and the Charity's privacy statement, which can be found at www.alzheimers.org.uk/legal-information/personal-data. 
7.6	By submitting Registration Forms, Participants acknowledge and consent that the Charity may share any personal information they provide with the Event Logistics Supplier, to assist the Charity with planning, operating and managing the Event on the Charity’s behalf.    
7.7	The Event Logistics Supplier will only process Participants’ personal data in accordance with its privacy policy (available at https://www.gladiatorevents.co.uk/privacy-policy). 

8.	Filming and Photography at the Event 
8.1	The Charity and its authorised photographers/videographers may film or photograph persons present at the event and use such footage or photographs to publicise the Event for commercial and/or fundraising purposes including, but not limited to, television broadcasts, advertising, publications, marketing material, merchandising, personalised direct mail and other documents that may be made available to the public; and (ii) by our third party partners to publicize their involvement and/or association with the Event.
8.2	By taking part all Participants confirm that they are happy for any video footage or photographs taken during their participation in the Event to be used by the Charity for the above. Should any Participant prefer that the Charity do not use any such images in which they may appear which are taken at the Event, please contact the Charity on the e-mail details above.  
8.3 	The Charity will not identify anyone by name in descriptions of photos or videos without their specific agreement. No personal details (including names) of an under 16-year-old volunteer will be used in any publicity materials without the written consent of their parent or legal guardian, but the Charity may use images where children are incidentally included e.g. of mass participation in the warm-up exercises, or on the starting line.

9.	Liability
9.1	All Participants attend the Event entirely at their own risk. The Charity shall not be liable for any injury, damage or loss to volunteers or their property that might occur as a result of their attendance at the Event, other than in respect of any injury or loss arising as a result of the Charity’s negligence. For the avoidance of doubt, nothing in this clause shall exclude or limit the Charity’s liability for any liability that cannot be excluded or limited by law.
9.2	Participants are covered under the terms of the Employers and Public Liability Insurance arranged by the Charity whilst acting on their behalf only for the duration of the Event. Our total liability shall not exceed the value of the Insurance so arranged.
