Event site volunteer
This will include being in our Information and Memory Tag gazebos, selling our merchandise, keeping our event site tidy and helping at our start and finish line.

Route volunteer
You will be positioned at key points in the route to ensure walkers are heading in the right direction, cheering them on and keeping them motivated!

Please note the Event Manager will do their best to accommodate your preference but may ask for some flexibility on the day.

Memory Walk Terms and Conditions

These terms and conditions apply to Memory Walk, which shall be referred to as an 'Event'. Alzheimer's Society will hereafter be referred to as 'The Charity'. By registering for an Event, you agree to comply with the below. Participants of Memory Walk should read this document carefully before registering to participate in the Event. Alzheimer's Society reserves the right to update or amend these to reflect necessary changes. Please check this page prior to your Event to familiarise yourself with latest updates as all changes will be binding on all volunteers and supporters. We reserve the right to ask volunteers and supporters to leave the Event if they do not adhere to these Terms and Conditions.
All Events are organised by Alzheimer's Society, a registered charity in England, Wales & Northern Ireland. Registered charity 296645, registered address 43-44 Crutched Friars, London, EC3N 2AE.

Volunteer Registration
1.	Your volunteering place is not confirmed until registration has been processed and you have received an email from us acknowledging that a place has been allocated to you.
2.	Only registered volunteers are eligible to take part in Memory Walk Events, and registrations must be received prior to the Event date. 
3.	All persons wishing to volunteer at an Event aged 16+ must register individually. Multiple registrations under a singular name will not be recognised.
4.	Events are open to volunteers of all ages, but volunteers are only required to register if over the age of 16 on the day of the Event. All under 16s must be accompanied by a legal guardian who must register as a volunteer.
5.	If you would like to enter a team of volunteers, you can do so by entering the team name on the registration form. You are responsible for ensuring the same team name, spelt the same way, is entered on each form. Whilst we will do our best to place everyone with the same team name together, this cannot be guaranteed.
6.	Spectators are not permitted. Everyone volunteering at the Event must be registered.
7.	We will collect and hold contact details for all volunteers prior to the Event, in case of an emergency. See the use of your information section for further clarity.
8.	Event entry will close when the maximum volunteer capacity is reached, or on the closing date listed on the website Event page, whichever occurs first.
9.	For each registered volunteer for an Event, high-vis vests will be provided and collected at the Event. Stocks of vests are limited, and in an event that the size requested is not available we will offer an alternative based on availability. 

Access
1.	We aim to be as inclusive as possible, and most of our Events are suitable for people of all ages and abilities, including persons living with dementia.
2.	We actively encourage people from all backgrounds and abilities to volunteer at our Events. We aim to have at least one wheelchair/pushchair accessible route at each Event, though at a small number of events this is not possible. Details on route and site accessibility is listed on the website event pages. For further information on individual event accessibility, please contact us using the details listed.

Cancellations and Changes 
1.	Places in the Event are personal to volunteers, and you may not transfer your place to another person.
2.	You may only transfer to another Event with our permission. Please contact us directly using the details listed on the website to arrange a transfer.
3.	We ask that you notify us as soon as possible if you need or want to withdraw from volunteering at an Event for any reason, using the contact details provided. As a volunteer you accept that The Charity will not be held responsible for any losses or costs incurred from the cancellation of a place.
4.	We reserve the right to reduce or alter Event routes to accommodate any unexpected complications that may have an impact on The Charity staff, participants, volunteers and spectators. 
5.	If the Event is delayed or cancelled due to reasons beyond our control, we will make all reasonable attempts to reschedule the Event, but this cannot be guaranteed.

Conduct
1.	All volunteers must abide by the term and conditions and any rules, instructions or regulations displayed or given on the day of the Event by police and/or Event officials. 
2.	Volunteers are responsible for their own safety during the Event, and should carry a charged mobile phone with them which can be used in case of emergency.
3.	We respectfully ask all volunteers not to use aggressive or abusive language towards our Event organisers, other volunteers and participants. You should avoid behaving in a way which may cause injury or harm to others, or which may cause offence or damage the reputation of The Charity.
4.	We respectfully ask that all volunteers do not drop litter but instead use the facilities available within the venues and around the route or take litter home to dispose of responsibly.
5.	We respectfully ask that all volunteers be respectful of the local community, residents and/or general public whilst participating in the event, and not to partake in any behaviour which may have a negative impact on the Event.
6.	We respectfully ask that all volunteers refrain from using any smoking products, including electronic cigarettes at the Event.
7.	We respectfully ask that all volunteers refrain from consumption of alcohol or illegal substances prior or during the Event.
8.	Volunteers are required to arrive only between the times listed on the Event webpage. If arriving outside of these times must abide by the instructions and decisions of the Event Manager or their representatives. For safety reasons it is possible that latecomers will not be permitted to take part.
9. Volunteers must not do anything that threatens The Charity's reputation or name. You acknowledge that, in the event The Charity reasonably believes that your activity may damage our name or reputation, The Charity has the right to ask you to stop the activity immediately.

Health, Safety & Medical
1.	Volunteers are responsible for ensuring that they are sufficiently fit and healthy to take part in their Event(s). Any participant unsure of their physical ability to take part in the Event must seek medical advice from their General Practitioner prior to the Event.
2.	All Events are non-competitive walks. All routes have been thoroughly risk-assessed for walking activity only, and to participate by running, cycling, or another means is not permitted and may result in health & safety issues at the Event. 
3.	Volunteers are responsible for ensuring that they are wearing appropriate attire and footwear when taking part in an Event, taking into account the nature of the Event, the weather forecast and the terrain involved.
4.	We take all reasonable steps to minimise the risk of injury to volunteers during fundraising Events. Stringent risk assessment processes are in place for every Event, which aims to minimise or eliminate the risk to everyone at the Event. By volunteering at an Event, all volunteers acknowledge that there may be conditions or circumstances beyond our control that can lead to unforeseen risks. If you have any concerns or queries please contact us on before agreeing to volunteer.

Use of your information
1.	By providing your information upon registering for an Event, we will use this information for the purposes of organising, staging and administering the event. Representatives of The Charity may contact you by phone and/or post to speak further about your volunteering role. If you would prefer not to hear from us, you can contact us on the details available to change your contact preferences.
2.	First aid facilities will be provided at each Event. If you are treated by medical providers at an Event, your details may be passed on to the provider only for health and safety purposes and to fulfil legal obligations (including those under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013). All accident details will be securely held on the Charity's Accident Database.
3.	In case of an emergency, we may also pass personal details provided by you from your registration details to the emergency services or health care professionals, for the purposes of contacting your emergency contact.
4.	Your personal information may also be used for the purposes of sending communications to you where you have confirmed that you would like to receive further information about the Charity's work when registering for an Event.
5.	All personal data handled by us will be done so in accordance to applicable privacy laws and the Charity's privacy statement, which can be found at www.alzheimers.org.uk/legal-information/personal-data. 

Filming and Photography at Memory Walk 
1.	The Charity and our authorised photographers/videographers may film or photograph persons present at the event and use such footage or photographs to publicise the Event for commercial and/or fundraising purposes including, but not limited to, television broadcasts, advertising, publications, marketing material, merchandising, personalised direct mail and other documents that may be made available to the public; and (ii) by our third party partners to publicise their involvement and/or association with the Event.
2.	By taking part all volunteers confirm that they are happy for any video footage or photographs taken during their participation in Memory Walk to be used by The Charity for the above. Should you prefer that The Charity do not use any such images in which you may appear which are taken at the Event, please contact us using the details listed on the website.  
3. The Charity won't identify anyone by name in descriptions of photos or videos without their specific agreement.
4.	No personal details (including names) of an under 16-year-old volunteer will be used in any publicity materials without the written consent of their parent or legal guardian, but we may use images where children are incidentally included e.g. of mass participation in the warm-up exercises, or on the starting line.
5. We may use, without payment, notice or specific consent, any photographs, videos and other images in which you appear taken at the Event or any Event-related occasion by our employees or suppliers or any participant or other person attending. These photos and videos may be used to share with registered participants as a record of their day, as well as in our printed materials, website, social network marketing or any other relevant promotional material including sharing with media outlets. We won't however identify anyone by name without their agreement. If you prefer that we don't use any images in which you, or any children participating with you, may appear in, you can collect a red wristband at the event or you can notify us by telephone on 0300 222 5808 or by email at: Events@alzheimers.org.uk. If you decide after the Event that you don't want any images to be used, you can contact us, and we'll remove our copies where possible and ask third party organisations to do the same we may already have passed your photos and videos to. Please note this may not always be possible for example images already in print publications.


Liability
1.	All volunteers attend an Event entirely at their own risk. We shall not be liable for any injury, damage or loss to volunteers or their property that might occur as a result of their attendance at an Event, other than in respect of any injury or loss arising as a result of our negligence. For the avoidance of doubt, nothing in this clause shall exclude or limit our liability for any liability that cannot be excluded or limited by law.
